Reversible Redaction in SourceDrive allows site users to mark documents as needing redaction, redact documents within SourceDrive, and share the redacted version with external monitors.
Since SourceDrive also keeps the original document safe, this redaction is editable: if you accidentally redact an area, you can edit your redaction and re-share.
Marking a document for redaction:
Documents can be marked as “Needs Redaction” on upload. Additionally, documents are automatically put into the "Needs Redaction" state whenever you click "Add Redaction" or "Edit Redaction" on a document that's already been uploaded into SourceDrive.
Whenever documents are in this state, users with a “Monitor” role will not be able to see them until a redacted version is created and shared. Monitors will only see the redacted version, but site users can see both versions.
1.) Within SourceDrive, add a document using the “+” menu in the bottom right corner. 2.) On the edit details step, turn the “Needs Redaction” toggle on:
3.) This document will now appear under “To Redact” in “Needs Attention”. It will not be shared with users with the “Monitor” role until a redacted version is added and shared.
Redacting documents already in SourceDrive:
To add redaction to any document version in SourceDrive, use the document editor:
- Log into SourceDrive and navigate to and open the document you'd like to redact.
- Click the "EDIT" button in the top right-hand corner to open the document editor.
- Click the "Redact" tool in the document editor menu.
You will be asked to confirm that the document will be put in "Needs Redaction" mode until the redaction is completed. This means the original document will be hidden from those without redaction permissions, and once you save and share redaction, they will only see the redacted version of the document. Click "CONTINUE & HIDE." (If you've gotten to the redaction editor via the "Needs Attention" > "To Redact" tab, this step is skipped as the document is already hidden and marked "Needs Redaction".) - To add redaction, click and drag to create a box. Boxed areas will be completely redacted once saved. To resize the box, drag the control points at the corners or sides. To delete, click a box and then the trash icon.
- You may switch to other document editing tools and add other edits if desired. When finished, click "DONE" and then "SAVE" to save your work on redaction, or click "SAVE & SHARE" to finish redaction and share this redacted version.
- You will see your redaction listed in the audit trail:
Note: the document will look like the above following for site users, who will have access to various tabs to the redacted, edited, and the original version. Users with a “Monitor” role will now be able to see the document as well, but they will only see the redacted tab version.
Making Corrections to Redaction
Redaction can be corrected easily:
- Log into SourceDrive and navigate to and open the document you'd like to correct.
- Click the "EDIT" button in the top right-hand corner to open the document editor.
- Click the "Redaction" tool in the document editor menu. As soon as you do so, you will be asked to confirm that the current redacted version will be hidden from those without privileges to see non-redacted documents. If you are editing the redaction, SourceDrive presumes you have something on the document that needs to be redacted until you purposefully ask us to share the document again.
- To resize a redaction box, drag the control points at the corners or sides. To delete, click a box and then the trash icon. You may also add more redaction if desired.
- When finished, click "DONE" and "SAVE" to confirm changes or "SAVE & SHARE" to clear the "Needs Redaction" flag and share this version on the redaction.
