Notes are an excellent way to communicate within your team about a particular part of a document. They are not considered part of the source document and will not appear in the audit trail.
In the future, we may be expanding Notes to do even more and would love your feedback. Today, you can add a quick message via a note, use a note to link someone to that specific spot in the document you’d like them to review or take action on, or delete a note.
Adding a Note
- Navigate to the document you’d like to add a note to and click the “EDIT” button in the top right corner of the document viewer.
- First making sure you’re on the page you’d like, click the “Add Note” icon at the top of the page
- Click anywhere on the document page to add your note.
- Add the text of your note.
- You may adjust the position of the note on the page before saving.
Linking to a Note
Sharing a link (the URL) of a specific note can be a quick way to point someone to a specific area of a document, even if it’s many pages into the document, accompanied by any details you want to add - such as a request for more information or for them to take action or review.
To get the link for your note, add a note or open any existing note and click the link icon in the bottom right hand corner to copy a direct link to this note to your clipboard. You can use paste to copy the link into an email or other messaging service.
If you copy this link from the document viewer, the note will open in the document viewer.
If you copy this link from the document editor, the note will open in the document editor. This is handy if you are sending someone a link to a note requesting them to sign or annotate a document, as they will already be in edit mode.
If the link is accessed after a note has been deleted, an error message will appear.
Deleting a Note
To permanently delete a note, open any existing note and click the delete icon in the bottom left hand corner.
Assigning a Sticky Note
Sticky notes can be assigned to a user to make it clear who is responsible for addressing the note, and it make it easier for that user to find (see Viewing and Filtering All Sticky Notes). To assign a note, click the person icon and select a user from the dropdown. Once you have selected a user, click the circled check mark button to the right to apply the assignment.
Setting a Due Date
To specify a due date for a note, click the calendar icon and use the calendar control to select a date. Once a sticky note has been assigned to a user or had a due date set these can be cleared by clicking the X icon to the right of the field.
Marking a Sticky Note Resolved
To mark a note resolved, which will hide it from the document unless the "Show Resolved Notes" view option is enabled, click on the grey check mark button next to the trash can icon. Once a note is resolved the check mark button is replace with a back arrow button. Clicking this button will un-resolve the note.
Viewing and Filtering All Sticky Notes
One of the most useful aspects of sticky notes is to track what documents in a study have issues that need to be addressed, or tasks that need to be performed. A complete listing of all sticky notes in a Study can be found for the current Site by:
- Click on the NEEDS ATTENTION tab.
- Select Unresolved Notes section on the left.
By default all unresolved notes are shown. However it is also possible to view resolved notes as well as filtering by assignee, due date, and the user that created the note. Clicking on a note will take you to the document editor at the place in the document where the note is located.
